Registration

Q: Where is registration located?

A: Main Registration is located in the Henry B. Gonzalez Convention Center in East Registration. Satellite Check-in will be in the Omni La Mansion del Rio.

Q: What are the registration hours?

A: Registration hours:

Saturday, 8:00 a.m.-5:00 p.m.
Sunday, 8:00 a.m. - 7:00 p.m.
Monday, 7:00am-5:00pm
Tuesday, 7:00 a.m.- 5:00 p.m.
Wednesday, 7:30 a.m.-9:00 a.m.

    Satellite Check-in hours (this is to be used only for pre-registered attendees):

Saturday, 8:00 a.m. – 5:00 p.m.
Sunday, 8:00 a.m. – 6:00 p.m.

Q: What is the conference cancelation policy?

A: All cancellations must be made in writing. Membership dues are individual, non-refundable and non-transferable.

Cancellations for individual FULL conference registration fees postmarked on or before October 1, 2010 will receive a 100% refund, less a $100 processing fee. Cancellations for a complete Team registration postmarked on or before October 1, 2010, will receive a refund of the registration fee, less a $100 processing fee for each team member that is canceled. There are no refunds for individual team member cancellations, and no vouchers for any team registration.

Requests for cancellations of the FULL conference registration postmarked between October 2, 2010 and November 10, 2010 are not eligible for a refund, but will be able to register for the 2011 AFP Annual Conference at a discounted rate of $350 as long as a voucher or "Team Pricing" was not used to register.

There are no refunds or vouchers for cancellation requests and no-shows received after November 10, 2010.

Q: What do I need to bring with me to check-in at registration?

A: If you are pre-registered you will need to bring the document that was e-mailed to you with the barcode, and then you can take advantage of the express check-in/will-call counters. If you don't have your paperwork with you, you'll just need to present a photo ID. If you are registering onsite you will need to bring a method of payment with you.

Q: How do I register for pre-conference programs?

A: To add a pre-conference workshop or seminar to your conference itinerary, simply download a form at http://www.AFPonline.org/preconf.

Q: Who do I contact if I have questions regarding registration?

A: You can contact access@AFPonline.org or call 301.907.2862 and ask for AFP Customer Service from 8:30 a.m. – 5:00 p.m. EST, Monday through Friday.

Housing, Airlines and Travel

Q: How do I reserve a room at a conference hotel?

A: You can book your hotel reservation through the AFP Official Conference Housing. Reserve your accommodations online or by phone:

  1. On-Line: visit the AFP Web site at www.AFPonline.org/afpconference for a listing and map
  2. Phone: 800.618.4242 (toll-free U.S. & Canada) or 415.979.2269, Monday - Friday, 9:00 a.m. - 9:00 p.m. ET.
Q: When can I cancel my hotel reservation without penalty?

A: The deadline for hotel cancelations without penalty is October 8, 2010.

Q: Can I receive a discount on my airfare to Annual Conference?

A: Yes, more information is coming soon.

Q: What is the best way to get from the airport to my hotel?

A: Taxi is the best way to get from the airport to your hotel. The San Antonio International Airport is about 8 miles from downtown San Antonio or a 15 minute taxi ride.

Q: Do I need to rent a car?

A: You do not need to rent a car to get to and from AFP events. The downtown area offers venues, accommodations and attractions within walking distance. There are streetcars, taxis and river cruises available to take you around town.

Conference Center and Events

Q: When are the General Sessions? Who is speaking?

A: The Opening General Session takes place on Sunday, November 7, 3:30 p.m. - 5:00 p.m. in the Henry B. Gonzalez Convention Center. Dr. Condoleezza Rice, the 66th Secretary of State, will be speaking. The Tuesday General Session will take place on November 9, 3:15 p.m. - 4:30 p.m. in the convention center. Malcolm Gladwell, best-selling author of Blink, The Tipping Point, and Outliers will be speaking.

Q: Where is the Exhibit Hall?

A: The Exhibit Hall is located in the Henry B. Gonzalez Convention Center in Halls C and D.

Q: When is the Exhibit Hall open?

A: Sunday, 5:15pm – 7:30pm
    Monday, 8:30am – 4:00pm
    Tuesday, 8:30am – 5:30pm

Q: Are meals provided during conference?

A: Yes, AFP provides breakfast Monday through Wednesday and lunch on Monday and Tuesday.

Q: Is there a business center?

A: Yes. There is a UPS Store in the convention center. They are open Monday-Friday, 9:00 a.m. – 6:30 p.m. and Saturday, 9:00 a.m. – 5:00 p.m.

Q: Is there a bag and coat check?

A: Yes. It is located in the West Registration area.

Q: Is there wireless internet available in the conference center?

A: Yes, there is complimentary wireless internet available in the Entrance Lobby of the convention center.

Q: How do I get to and from the convention center from my hotel?

A: All, except three hotels are walking distance to the convention center. The Hotel Valencia, Sheraton Gunter, and the Wyndham St. Anthony will have shuttle service to and from the convention center.

Q: Where are the receptions taking place?

A: The Welcome Reception is taking place at the AT&T Center on Sunday, November 7 from 7:30 p.m.-10:00 p.m. The Tuesday Evening with Darrell Hammond is taking place at the convention center on Tuesday, November 9 from 8:30 p.m.-10:00 p.m.

Q: Is there transportation for the receptions?

A: There will be transportation provided for the Welcome Reception from the convention center to the AT&T Center and back to each hotel. There will be no shuttles for the Tuesday Evening with Darrell Hammond, except for The Hotel Valencia, Sheraton Gunter, and the Wyndham St. Anthony.

Q: Will dinner be served at the receptions?

A: No, but there will be heavy hors d'oeuvres served during the Welcome Reception at the AT&T Center. Light snacks and beverages will be served during the Tuesday Evening with Darrell Hammond.

Miscellaneous

Q: Where and when is the AFP Annual Conference taking place next year?

A: Annual Conference will take place in Boston, MA, November 6-9, 2011.

Q: How do I report my CE credits earned at the AFP Annual Conference?

A: Credits can be reported by using the Online Recertification Resource Center or by completing and returning the Recertification Reporting Form. If you turn in an evaluation after attending an educational session, AFP will automatically post the session and credits earned in your record after the conference by December 31, 2010.

To ensure the credits are posted, you must enter your Customer ID Number (same as your AFP ID number), on the evaluation form. The ID number is located in the bottom left corner of your badge.

If you don't see all the sessions/credits for which you turned in an evaluation for listed in your record, you would manually post these credits in the Online Recertification Resource Center or report them if you are submitting a Recertification Reporting Form.

In addition, some sessions do not have an evaluation, e.g. General Session, Certification Luncheon, therefore you would have to manually post these sessions in the Center or report them if you are submitting a Recertification Reporting Form.

To view and post credits earned in the Online Recertification Resource Center first log onto www.AFPonline.org. Under the CTP Certification tab, select "Submit Recert Credits" to log onto to the Center homepage.

You should retain your conference program book, highlighting the sessions you attended, in the event you're audited. A confirmation of conference registration is not sufficient proof of sessions attended. For more detailed information on the CTP/CCM recertification requirements, you can go to www.AFPonline.org/recertguidelines.

Q: How many recertification credits can I earn at conference?

A: The conference is approved for a maximum of 33 credits. To earn the maximum you must attend:

  • Full day pre-conference seminar on Saturday
  • Morning and afternoon workshop on Sunday
  • Nine concurrent sessions
  • Two general sessions
  • Industry roundtable breakfast on Monday morning
  • Lunch with speaker (Exec Inst Luncheon) on Monday
  • Lunch with speaker (Certification lunch or Exec Institute) on Tuesday

You may earn a maximum of 17.40 credits if you don't attend the Pre-Conference or Executive Institute programs.

Q: Are there any sessions or events that are not eligible for recertification credits?

A: Sessions that are not eligible for credits will be marked in the program book.

Q: Can I bring my spouse or a guest to the convention center and the conference events?

A: A $250 spouse/guest registration will allow access to the Exhibit Hall, General Sessions, AFP social events and meals, but not educational sessions.

Q: Who can I talk to about finding a restaurant in San Antonio?

A: Creative Dining & Entertainment Convention Concierge Service will be available in the convention center lobby to provide onsite restaurant and entertainment information and make reservations.
